Manage Guests Help

Manage Guests

The guest list is the source of truth

Manage Guests controls names, households, RSVP status, contact details, meal choices, mailing addresses, table assignments, special-event eligibility, shuttle/lodging fields, and downstream reporting. Treat this page as the main guest list for anything tied to a person or household.

Guest records Households RSVP status Mailing data

Best order of work

  1. Add or import guests first.
  2. Clean household grouping, display names, plus-ones, and children/party members.
  3. Add email, phone, and mailing addresses before using Invitation Studio, Envelope Studio, SMS, or reports.
  4. Confirm RSVP fields and special-event eligibility before opening guest access.
  5. Only then use seating, cards, envelopes, reports, and thank-you workflows.

Fields that affect other modules

FieldWhere it matters
Guest / household nameControls how guests appear in RSVP, reports, cards, seating, and envelopes.
Email addressUsed by email delivery, RSVP tracker, notifications, and follow-up.
Phone numberUsed for SMS notifications and future keyword replies.
Mailing addressUsed by Envelope Studio, printed mailers, and mail-merge export.
RSVP status and mealUsed by reports, seating, catering counts, and guest portal summaries.
Table assignmentUsed by seating, poster/signage, and future guest keyword replies.
Special eventsControls whether a guest can see or RSVP to rehearsal dinner, brunch, or other private events.

Sanity test before sending anything

  1. Pick one single guest, one couple/household, and one guest with missing contact data.
  2. Open the guest-facing page for each scenario.
  3. Confirm the guest name displays correctly, not a fallback ID.
  4. Confirm hidden/premium sections are actually hidden when they should be.
  5. Correct the guest records before generating cards, envelopes, emails, or reports.

Common fixes

SymptomWhat to check
Guest shows as an IDCheck that the guest has a clean display name and household record. New records should normalize to guest names, but bad old records may still need cleanup.
Deleted guest comes backThat points to persistence/state sync; do not rebuild downstream reports until deletion stays after refresh.
Checkboxes look invisibleSwitch planner theme or use the updated contrast styling; selected and unselected boxes should be visible in light mode.
RSVP count looks offCheck household members and status fields before blaming the report.
